Answer, screen and forward incoming calls professionally;
Ensure reception area is tidy and presentable with all necessary stationery and material (e.g. pens, forms and brochures);
Ensure adequate stock of office supplies, such as stationery, paper supplies, printing and etc while maintaining the service of office equipment.;
Collect, mail, sort and distribute daily mails and arrange both local and international couriers;
Issue and maintain telephone directory/register;
Organize and manage travel arrangement including liaison with travel agents, finding alternative travel options, arrange visa and accommodation, collecting and producing documents required for travel;
Provide welcome to all visitors including new hires (first day), issue visitor access cards and direct them to the meeting room.
Being the focal point of contact and connectivity with arriving and departing of guests;
Order employee access cards, business cards and other items;
Assist staff to apply for car parking within the office building and verify billings from the landlord;
Manage the engagement of cleaning service providers to ensure that pantry and office are clean and tidy at all times.
Ensure upkeep of the pantry consumables such as drinks, fruits, snacks and coffee machine by the cleaning service provider.
Ensure that the First Aid Box is fully stocked, and being part of the fire warden team to ensure that the office environment is safe.
Maintain the meeting room calendars.
Assist in setting up of meeting rooms and provide first level support in terms of meeting room equipment.
Provide general administrative duties and clerical support.
Any other duties and responsibilities involved within the role as assigned from time to time.
Candidate must possess at least GCE “O” Level, Professional Certificate/NiTEC in any field.;
1-2 years of reception and administrative experience in a corporate office environment.
Well-presented with a positive attitude.
Proficient in MS Office applications.
Critical thinker and problem-solving skill,Good team player, Good time-management skills.
Good interpersonal and communication skills.
5 day work week
9:00am to 6:00pm
